- Gradwell / Onecom — our telecoms infrastructure provider, for the purpose of delivering your Ring One service

- Supabase — our database and authentication provider
- Brevo — our email marketing platform
- Nextdoor — for advertising and retargeting purposes, where you have consented to advertising cookies
- Google — for analytics and advertising purposes, where you have consented
We do not sell your personal data to third parties.
6. Legal basis for processing
We process your personal data on the following legal bases:
- Contract — processing necessary to provide our service to you
- Legitimate interests — for marketing to existing customers and improving our services
- Consent — for advertising cookies and marketing to prospects
- Legal obligation — where required by law
7. Data retention
We retain your personal data for as long as necessary to provide our services and comply with legal obligations. Account data is retained for 7 years after the end of your contract for tax and legal purposes. Marketing data is retained until you withdraw consent or unsubscribe.
Call recordings, transcripts and AI processing
When you use the RingOne AI receptionist, calls to your RingOne number are answered by an AI agent and are recorded and transcribed so that we can deliver the service — including showing you recordings, transcripts, summaries, captured contact details and drafted quotes in your dashboard, and emailing you about calls. If you are a RingOne customer, you are responsible for telling your callers that calls may be recorded (for example in your greeting) and for having a lawful basis to do so.
For information about your own callers (their phone number, name, and what they say on calls), our customer is the data controller and Littlewood Communications Limited acts as a processor providing the service. Call recordings are retained for 30 days; transcripts, summaries and captured contact details are retained for as long as the account remains active or until deleted from the dashboard.
Our service providers (processors)
We use a small number of carefully chosen providers to run RingOne, who process data on our behalf: Twilio (call carriage and SMS), Retell AI and its speech partners (AI call handling, transcription and voices), Anthropic (AI assistance features), Supabase (database and authentication), Stripe (payments — we never see your card number), Brevo and Resend (transactional email), and our website hosting provider. Some providers process data outside the UK; where they do, transfers are protected by UK-approved safeguards such as the UK Addendum to Standard Contractual Clauses.
Cookies and analytics
We use essential cookies to make the site and dashboard work (for example keeping you signed in). With your consent, we also use analytics and advertising-measurement cookies (Google Analytics and Nextdoor Ads) to understand how visitors use our site and whether our advertising works. You can accept or decline these when you first visit, and change your mind any time by clearing cookies for this site.
